The Commercial Media Officer (CMO) is responsible for processing inquiries to undertake commercial media activities, such as commercial filming/photography or licensing the use of TfL's Intellectual Property (IP) relating to commercial filming/photography, and for securing the necessary approvals in-line with TfL standards and procedures. The CMO will facilitate and supervise commercial filming/photography across TfL's estates, process requests to use TfL's IP, and investigate and action unauthorised use of TfL's IP which includes filming/photography. The CMO needs to work collaboratively with operational colleagues and be accountable for ensuring that all filming and photography activities are undertaken safely and do not detrimentally impact TfL customers or services.
Key Accountabilities • Supervise commercial filming activities on-site, ensuring that contractual requirements are upheld, that activities are delivered safely, and that TfL’s Standards are adhered to. • The CMO needs to be able to work with external clients and stakeholders to provide fair and consistent customer experience and look for continuous improvement opportunities to deliver activities in a streamlined and efficient manner which provides excellent customer experience for our customers and media partners. • Process enquiries to set up and deliver commercial media initiatives (such as commercial filming and photography, and intellectual property and copyright enquiries using TfL’s branding and registered copyright), implement contracts and licences using template documents (including commercial filming/photography contracts and IP licences), agree the cost of the activity using the rate-card and agree the terms of use using the rate-card options to put into the contract/licence. • Monitor for and action any reports of unauthorised use of TfL intellectual property or copyright relating to commercial filming or commercial advertising working in conjunction with TfL Legal, Commercial Partnerships, Brand Licensing teams and TfL's media partners; seeking to charge for a retrospective licence fee and filming permit for the use of TfL's IP or requesting that unsuitable content is promptly removed to protect TfL's brand. • Research new and interesting activities and create new revenue-generation opportunities associated with commercial filming/photography to generate income. This may involve the use of innovative technology, identifying emerging market trends and evolving ways of working or finding new sectors/audiences to engage, for example, LED Volume. • Calculate and raise invoices, maintain financial records, and contribute to the development of revenue forecasts. • Maintain accurate records within the TfL CRM system and make full use of the system for communication, targeted sales and reporting purposes. • This is a revenue-generating role and the CMO is expected to contribute to the £1m Film Office revenue target (2024/2025).
Key Interfaces • Production companies & 3rd Party Suppliers: reviewing scripts/storyboards (highlighting issues and advising on mitigation), using rate cards to populate contracts/licences. Providing account management and guidance to third-party suppliers (such as the London Transport Museum) to ensure IP charges are implemented and film/photography sets are compliant. • Commercial Media, Commercial Partnerships, Brand Licensing & Events Teams: maximising cross-selling opportunities, contributing to the business-to-business communication strategy and processing requests for graphics, artwork, props, fonts, set-dressing and action licensing/IP infringements. • Operational stakeholders: to obtain permissions and arrange logistics for film/photography activities. • Legal team (and other subject matter experts): to action copyright/trademark/right of publicity infringements and to draft licences/contracts if not covered by the rate-cards.
